This Privacy Policy describes how Coffee Date Media, LLC ("Company," "we," "us") collects, uses, and protects information when you use Chai, our AI-powered personal assistant ("Chai" or "the Service"). Chai is available to active members, and is operated by Coffee Date Media, LLC.
By activating and using Chai, you agree to the practices described in this policy.
Coffee Date Media, LLC is a limited liability company registered in the State of North Carolina, United States. We operate the Donata White brand, its membership communities, and Chai. Contact: support@donatawhite.com
Information you provide directly. When you activate Chai, we collect your name, preferred name, name pronunciation, city, time zone, business name, and business description. We also collect your task tool preferences and communication preferences (briefing time, check-in time, reminder style).
Documents. When you write a document with Chai in the web app, it is saved in that conversation so you can come back to it, edit it and export it to your Google Drive. It is kept until you delete it or the conversation, and it is permanently deleted with the rest of your data as described in section 7.
Billing information. If you subscribe to Chai directly, your payment is handled by Stripe. We receive and store your name, email address, the plan you chose, your billing dates and whether your payments are current, plus the brand and last four digits of your card so we can show them on your Account page. Your full card number and payment details are collected and stored by Stripe, never by us.
Google account data. With your explicit authorization via Google OAuth, Chai accesses the following Google services on your behalf:
Google Calendar: Chai reads your calendar to populate your morning briefing and manages events you ask her to create, update, or delete. Chai writes to your calendar only when you explicitly instruct her to do so. When you turn on travel times, Chai also reads the location of your events to work out how long it takes to get there.
Email: Chai does not request or receive access to your email. She cannot read, search, or send email on your behalf, and no permission to do so is ever asked for.
Google Tasks: Chai reads and writes to your Google Tasks list to capture and manage tasks you assign through Chai.
Google Drive: Chai creates and manages a dedicated "CHAI Exports" folder in your Google Drive, which receives documents Chai writes at your request, such as strategy summaries and content plans. If you use the "Choose from Google Drive" button, Chai can open the file you pick, and only files you pick this way, to read it for you. It's kept for the day and added to your Chai Brain only if you ask. No other files or folders in your Drive are accessed.
More than one calendar. You can connect more than one calendar, including Google and Microsoft Outlook. Chai reads and updates each one through that provider's official connection, only to show your schedule and make the calendar changes you ask for. You can disconnect any of them at any time in Settings or in your Google or Microsoft account.
Usage data. We store conversation context, task history, calendar preferences, and briefing preferences in Google Firestore to power Chai's memory and personalization. This data is tied to your Telegram chat ID and member profile.
Quality review. To make sure Chai does what you ask, her responses are checked automatically each day. When a response looks wrong, we keep a record of that message and what Chai did and said for up to 7 days so our team can find and fix the problem, then delete it automatically. While we are testing a major change to Chai, we may keep a record of your messages and Chai's responses for up to 21 days. Information Chai receives from your Google account, such as your calendar events, is removed before anything is shown to our team.
Personal context. To make conversations with Chai feel more personal, Chai may retain small pieces of context you share, for example, the names of pets or family members, service providers you mention, or general preferences like appointment timing or dining tastes. Chai may also keep practical details you share so she can help you keep track of them, such as a payment plan and when it ends, a renewal date, paperwork you're working on, or a family member's allergy, along with short notes about your own business, such as your offers, who you serve, or your posting schedule. When you tell Chai how you want your content written, for example a phrase that should always appear, a tone to use, or words to avoid, she keeps those notes so every draft follows them. You can see and remove them in the Messaging DNA tab at any time. She does not keep sensitive details about who you are, such as your income or account information, medical diagnoses, or your religion, sexual orientation, gender identity, or ethnicity. This context is used only to inform Chai's conversations with you. It is never displayed as a standalone profile, shared with any third party, or used for any purpose beyond personalizing your experience with Chai.
Habits. If you ask Chai to keep track of a habit, such as your steps, your workouts or how much water you drink, she keeps each answer you give her (the day and the number, or whether you did it) so she can tell you your totals, averages and streaks and show them on your Habits tab. Your answers are used for nothing else, and they are deleted when you delete the habit or your account.
Voice data. If you send voice notes to Chai, your audio is transcribed using Google Cloud Speech-to-Text. Audio files are not stored after transcription.
Travel times. If you turn on travel times, you give Chai your home address. She uses it, and the location of the calendar events you choose, only to work out how long it takes to get there. To do that she sends the two addresses and the time you would leave to Google Maps Platform. She uses your address for nothing else, and the only record of a trip is a travel event you approve on your calendar. She also keeps how you usually get around (by car, transit, on foot or by ride) so the time fits. When you tell Chai where an event is, she puts that address on the event and remembers it for events with the same title. Chai may also text you a link that opens directions in your Maps app shortly before you need to leave. If you tell Chai about a place you regularly travel to, such as a school or a gym, she keeps it with your schedule and uses it only to work out travel times and to text you before you need to leave. You can remove it any time in Settings or by telling Chai. She asks before she saves your address and before she adds anything to your calendar. You can remove your address at any time in Settings or by telling Chai, and that also turns travel times off. It is deleted with the rest of your profile.
Photos. If you send Chai a photo, it is kept for up to 24 hours so Chai can refer back to it while you talk about it, and is then deleted automatically. Anything you choose to add from it, such as a calendar event, stays where you put it.
Links. If you share a link with Chai, she opens it to read what’s there so she can answer you about it. Web pages are read through our AI provider. For an Instagram post or reel, Chai reads only the public preview Instagram shows anyone with the link: the caption and the first image. She opens only links you share, and nothing from the page is kept beyond her reply in your conversation.
Web search. When a question needs current information, such as prices, opening hours, local businesses or recent news, Chai may search the web to answer it. Searches are run through our AI provider. Chai writes the search from your question, so it can include details you’ve given her that the answer depends on, such as a city or a business name. What she finds is used only to answer you; her reply is kept in your conversation like any other.
We use the information collected solely to operate and improve Chai. Specifically: to deliver your personalized morning briefing, end-of-day check-in, and proactive task reminders; to manage your calendar, tasks, and schedule at your direction; to provide a consistent, memory-enabled experience across conversations; to process your subscription and payments; to send you account emails such as payment confirmations, renewal notices, and confirmations of changes you make to your plan; to verify your membership through Kajabi if you are a member of The Residence; and to send you announcements and event reminders about the program you belong to.
During your first month, we note whether you open our emails and which links you click, so we can tell which ones are useful. You can stop these emails with the link at the bottom of any of them.
We do not use your Google data to train AI models. We do not use your data for advertising. We do not sell your data to any third party.
Your member profile and conversation context are stored in Google Firestore, a cloud database hosted on Google Cloud Platform in the United States. Access credentials and authentication tokens are stored in Google Secret Manager. All data is encrypted at rest and in transit.
Access to your data is restricted to the Chai service itself and to authorized personnel at Coffee Date Media, LLC. We do not share your personal data with third parties except as described in Section 5.
